Art. 1. DAY AND DURATION: ASTURFORESTA will be held in Monte Armayán, Tineo, on the 17th, 18th and 19th of June 2021. In case of force majeure, the days and place can be changed without any right to compensation. The Fair will remain open to the public from 10:00 to 20:00, except on Saturday, the 19th, which will close at 18:00. No vehicles are allowed to circulate in the Fair during these hours.

Art. 2. DISTRIBUTION OF SPACE – The Fair has three different exhibition areas:

A.- Outdoor area: These are open-air plots with variable fronts from 5 metres upwards.

B.- Indoor area: Jaima tents of 3×3 m or 5×5 m, with the possible variations detailed in the table.

C.- Biomass Tent: These are 3×3 stands inside an independent tent with a counter. 

D.- Demonstration area: The Fair will have two areas for demonstrations of the machinery and elements on display:

. Demonstrations on the plot itself. The conditions of this area will be varied to allow all types of forestry work to be carried out. The exhibitor who wishes to carry out some type of demonstration of his machinery must indicate it on the registration form, indicating the type of machinery to be used and the conditions for this demonstration.

. Demonstrations on the plot of land set aside for this purpose. The conditions of this area will be varied to allow the realization of all types of forestry work. The exhibitor who wishes to carry out some type of demonstration of his machinery must indicate it on the registration form, indicating the type of machinery to be used and the conditions for such demonstration.

3.2.- SPECIFICATIONS.

Advertising: In the event that there is more than one company interested in advertising in the Trade Fair’s magazine in the options of inside cover, inside back cover, outside back cover and advertising on the back of the tickets, this will be resolved by date of application.

For the insertion of advertising on the tickets of the Fair the maximum period of application will be until January 30th, 2021

The price includes:

– Right to perform demonstrations.

– The right to receive as many free tickets as you need for distribution to your customers

– The right to use the chat room for the exhibition of videos, talks explaining the product on display, etc. (provided that there are no problems of occupation and ASTURFORESTA considers it appropriate).

– The right to use the entire trade fair infrastructure (business room, water points, etc.) and free parking.

– Night-time surveillance of the entire site

– Photocopier

– WIFI

– Insertion in the catalogue and in the list of exhibitors on the website

3.3.- MANAGEMENT RULES.

The public price is due when the stand reservation request that starts the file is approved. It will be necessary to communicate in the application a bank account number to make the collection of the same. The processing of the application will not be continued without the provision of the data required in the application form.

Once the licence for the installation has been granted, the interested party will be notified and simultaneously the public price will be settled and the resulting amount invoiced to the account indicated by the applicant. Non-payment or return of the settlement once the invoice has been drawn up will be understood as a waiver of participation in the Fair.

Once the stand has been allocated and the resulting settlement has been paid, if the applicant renounces to exhibit at the Fair, or does not attend for reasons attributable to him, he will be entitled to a percentage refund as detailed below:

– Application more than 30 days before the fair, 75% refundRequest more than 20 days before the fair, 50% refund

– Application more than 10 days before the fair, 25% refund

– If the cancellation or non-attendance occurs within the 10 days prior to the fair, no refund will be given.

When participation does not take place for reasons NOT attributable to the taxpayer, and justified by the presentation of the appropriate documentation that gives veracity to the reason, the amount paid will be refunded.

3.4.- INVITATIONS FOR CLIENTS, EXHIBITOR IDENTIFIERS, ACCESS TO THE CAR PARK

Each exhibitor will have a free quota of invitations for their clients, exhibitor badges, access to the parking lot and vehicle access to the stand, depending on the surface area of their lot, for a maximum of 12 personal passes and a maximum of 8 vehicle parking passes.

3.5.- DISCOUNTS.

A) DISCOUNT FOR EXHIBITOR LOYALTY.

Those exhibitors who have participated in at least 3 of the last 4 editions, will enjoy a priority reservation of space and will have a DISCOUNT OF 10%, to be applied on the total price of the stand, calculated before discounts.

B) DISCOUNT FOR PROMOTION OF THE FAIR

The exhibitor who, with your mediation, incorporates a new exhibitor in Asturforesta will have a DISCOUNT OF 10%, to be applied on the total price of the stand, calculated before discounts. The new exhibitor must have a different CIF than the mediator and must be registered as an exhibitor of Asturforesta 2021, for which he will have to cover his own request

(C) DISCOUNT PER PLOT LOCATED IN THE NEW EXHIBITION AREA.

For those exhibitors who move or request their plot in this new exhibition area (as per attached plan), they will have a 40% discount on the total price. Plots located in the usual exhibition area will not be affected by this discount (to obtain the discounts on advertising and/or electricity you must have more than 50% of the contracted area in this area)

D) DISCOUNT FOR DEMONSTRATIONS IN COMMON AREA.

Those exhibitors who wish to carry out demonstrations in this common area, in order to benefit from the 20% discount, must inform the organization before April 1st, the day and time it will take place, in order to spread it correctly in the Asturforesta catalogue. The demonstrations in this area will last at least half an hour, being obligatory to make a daily demonstration to obtain the discount.

E) DISCOUNT FOR DEMONSTRATIONS IN OWN PLOT.

Those exhibitors who wish to carry out demonstrations on their own plot, in order to benefit from the 5% discount, must inform the organisation before the 1st of April of the day and time when the demonstration will take place, in order to correctly publicise it in the Asturforesta catalogue.

Asturforesta will check that the demonstrations are held, if not, the discounts in sections D) and E) will be withdrawn.

F) DISCOUNT FOR REGISTRATION SUBMITTED BEFORE DECEMBER 31st of the year prior to the celebration of Asturforesta.

For those applications submitted before that date will have a discount of 20% on the final price

Under no circumstances may the accumulation of bonuses to which a single exhibitor/applicant is entitled exceed 70% of the total bonus to be applied

ART. 4. DISTRIBUTION OF GOODS

Plots: Only products linked to the forestry sector will be allowed to be displayed: forestry machinery, tools, accessories, protective clothing, etc. Interior: Consultancies, institutions, forestry tools.

ART. 5. MULTIPLE RISK INSURANCE: The Organization will take out insurance to cover the risks of fire, explosion, theft and damage by atmospheric agents, as well as the civil liability of the organization. The theft insurance will only cover the theft that takes place during the period that the Fair is closed to the public, being the exhibitor’s responsibility the surveillance of his plot and/or store during the hours of operation of the Fair. In order to benefit from this insurance coverage, exhibitors must submit a complete inventory of the products and elements to be displayed as well as their valuation before April 30th. Otherwise, the organization will decline any kind of responsibility.

ART. 6. SECURITY MEASURES

6.1.- Protection against fire. It is forbidden to make fire. Spillage of fluids (fuels, oils, etc.) is prohibited. The companies that show machinery must be provided with fire extinguishers.

Security: It is strictly forbidden to exhibit all those products that may pose a danger to visitors, Fair staff or exhibitors. Those exhibitors who wish to carry out demonstrations must have a safety and protection device for the public. Exhibitors will be responsible for any damage that they may cause to visitors, the organisation or other exhibitors due to their fault or negligence, especially within their demonstration plots, for which they will have personnel specifically dedicated to security tasks. For this purpose, it will be necessary to take out civil liability insurance for an amount of no less than 300,000 Euros. The organisation reserves the exclusive right to supply the kennels and electricity for security reasons.

Exceptionally, the corporate Jaimas will be authorized upon request of authorization and examination by the organization. 

In any case, ASTURFORESTA reserves the right to inspect the installations and demonstrations at any time, and may oblige the exhibitor to withdraw certain products or adopt the security measures that the organisation considers appropriate.

ART. 7. ADMISSION AND INVOICING – The process to be followed for the hiring of space and services by exhibitors will be as follows: There is a formal registration form that the Organization will send to all those interested in participating in the event. This form must be sent to the Organization, duly completed, before April 30, 2021. Once the application form is received, the Organization will proceed according to the following management rules (Ordinance NF nº 400):

ART. 8. PROHIBITION OF ASSIGNMENT OR SUB-ASSIGNMENT – The assignment of all or part of the space and services to a company other than the one registered is expressly prohibited. However, when it is a question of similar or complementary activities, ASTURFORESTA may, at the request of the interested party, authorise the transfer of all or part of the contracted space.

ART. 9. STAND INSTALLATION – The participants in the Fair may start installing the stand from 8:00 a.m. on June 10th, 2021. The installation schedule is from 8:00 to 22:00 h., no material will be admitted after this time.

ART. 10. REMOVAL OF GOODS: The elements exhibited may not be removed under any circumstances until 9:00 p.m. on Saturday 19th June 2021. Failure to do so will make it impossible to participate in subsequent editions.

ART. 11. SURVEILLANCE SERVICE: From the moment the installation period begins, the Fair has a surveillance service to guarantee the integrity of the materials and elements deposited. The Fair Organisation will pay the costs of the surveillance service which will carry out its task from the beginning of the installation period until the beginning of the goods withdrawal period. The surveillance service provided by the Organization will cover the period of time in which the Fair is closed to the public. Each exhibitor will be responsible for the surveillance of his plot and/or store during opening hours. During the period in which the Fair remains open to the public, there will be a surveillance service in the common areas and maintenance of order in charge of the Organization.

CALENDARIO

ART. 12. CLEANING SERVICE: The cleaning of the corridors and common areas will be carried out by the Organization without any economic repercussions for the exhibitor. The cleaning of the shops will be carried out at the expense of the exhibitor, for this purpose, we will pass you budgets of the companies interested in carrying out this service so that you can contract it directly.

ART. 13. HEALTH CARE SERVICE: A health care unit will be installed at the Exhibition Centre during the days of the event.

 ART 14. LOADING AND UNLOADING AREA: The Fair Organisation will set up an area within the Exhibition Centre to facilitate the loading and unloading of machinery and elements transported by lorry.

ART. 15. MAGAPHONE SERVICE: The Fair has a public address service, through which exhibitors and visitors will be informed of the activities taking place at the Exhibition.

ART. 16. BUSINESS ROOM AND CONFERENCE ROOM SERVICE: The Fair has a reserved space, equipped with furniture, which is made available to exhibitors who wish to use it to negotiate or finalize an agreement privately.

ART. 17. ADDITIONAL SERVICES: The organization will provide the exhibitor with a service company for loading, unloading and movement of machines, wood needs and any other unforeseen event during their stay at the Fair.

In order to avoid delays in loading and unloading, the organization must be informed of the expected time of arrival and/or departure from the fairground in order to organize the aforementioned operations, at least 5 hours in advance.

ART. 18. FAIR OFFICES: The Fair has permanent offices before and after the Fair, where interested parties may go to ask for information or clarify any doubts related to the exhibition from 8:00 to 15:00. During the Fair, the office located on the premises will open at 9:00 a.m. and will close at 8:00 p.m. without interruption.

ART. 20. OTHER ACTIVITIES – To complete the exhibition and make it more attractive and interesting for visitors, complementary activities will be organized such as competitions and talks, colloquiums, round tables, etc. Likewise, exhibitors who wish to organize screenings or conferences on their activity must inform the Organization before April 12, 2021 and must send the contents of their exhibition in writing to the Organization’s offices before that date.
